Your Blueprint to Avoiding Data Pipeline Disruptions
Isn’t it cool how the legal recoveries industry, despite our small national footprint, wields enormous influence over our credit system’s economic stability? Our positive impact hinges on the integrity of the communication and data transmission pipeline within our ecosystem: collection law firms (Receivers), creditors/debt buyers (Senders), and the VT technology used to place, process, and exchange claims data (Collection-Master, Q-LawE, vExchange).
When Receivers or Senders bypass our data pipeline, you become vulnerable to compliance risks, inefficiencies, increased costs, fractured partnerships, and even economic downswings.
Disruptions to the flow in our pipeline are often caused by an absence of communication, which is also where problems can really sneak up on us. For example, a VT Receiver recently notified us about an issue triggered by a seemingly minor programming change by their Sender. The change resulted in an attorney fee of $0.05. Had the Sender notified their firms in advance, they would have learned that a field designated for attorney fees already exists in Collection-Master.
In this case, a nickel is not just a nickel. Inputting a value in the wrong field threatens the integrity of the data itself along with compliance risks and even the potential for lawsuits. In the meantime, to make things right again, our developers had to drop other projects and modify Collection-Master to accommodate the Sender’s rogue programming.
Our Receivers’ clients often fail to consider the arduous plight of their firms to meet their frequent changes and unrealistic deadlines. When delayed (and secondhand) communication finally reaches Vertican, it ripples into rushed programming, limited QA, and unnecessary stress.
So, my development team and I are grateful to our users who proactively share Sender requirements with us as soon as they are notified. Nevertheless, VT development teams still must work hard to then reprioritize projects so that our Receivers can continue to uphold their clients’ often ad hoc requirements. Timely communication notwithstanding, this also highlights a broader problem: our Receivers’ clients who impose “new” data requirements don’t always know that VT software is already feature-rich with the technology they need to achieve their business goals.
Triple C Principle: Coordination, Collaboration, and Cooperation
Let’s say you want to build a house, so you hire an architect. You also engage several contractors, each responsible for different aspects of the construction. The electrician deviates from the blueprints when installing the wiring. Their seemingly minor oversights go unannounced until the plumbing and HVAC contractors realize they must modify their plans to accommodate the already installed electrical configuration. All that results in delays, increased costs, possible inspection problems, and avoidable stress.
There’s a reason we require blueprints for complex projects. Blueprints ensure coordination, collaboration, and cooperation among the subject matter experts. Ironically, often the experts don’t even meet each other because it’s the blueprints that keep them aligned.
Of course, most projects experience workflow adjustments … all the more reason to always consult the architect who may or may not need to modify the blueprints.
Now, compare this to our firms’ clients making changes to their data records without notifying Vertican. vExchange, Collection-Master, and Q-LawE already contain the blueprints of necessary records and functionalities. When the pipeline changes without our knowledge, it disrupts the entire system and causes preventable complications and inefficiencies.
When our Senders and Receivers use vExchange with the most current version of their VT software, they have everything they need. Our systems are designed to talk to each other and handle complex data with minimal need for modifications. I estimate Vertican – and even a few of our industry counterparts – add new fields less than 10% of the time. That’s a testament to decades of programming comprehensive, complex blueprints by VT’s architects.
Maximizing Sender Data Utilization
I also encourage our vExchange Senders to invest time in their own data and analytics. We have a national Sender that possesses all the key data but only exports subsets to vExchange Analytics, excluding some demographics like street addresses, phone numbers, and employment information. By bringing as much data as possible into their system pipeline, they can perform critical tasks such as checking for duplications and leveraging more information with their master servicers.
So, for both the Senders and the Receivers, the benefits of a complete and well-integrated data pipeline are clear: enhanced accuracy and workflow, and maximized data usage.
Vertican’s robust technology is deeply rooted among the industry’s circle of influence. Senders, Receivers, and Vertican have a downright obligation to support the health of the legal recoveries arena by, at a minimum, applying the 3 Cs. We must work further and harder than ever to improve the quality of the information gathered throughout the collections process to ensure all the data has integrity …. every time.
My team and I continually work to broaden our lines of communication. Yet I find myself reverting back to the same crucial questions for VT valued clients: Why are we still being hampered by incomplete data pipelines and eleventh-hour projects? Isn’t it most sensible to ensure the entire pipeline is intact from the beginning?
While enhancements may occasionally be needed, effective communication and a real understanding of your existing system’s capabilities greatly reduce the need for modifications.
At VT, we’re committed to helping our clients navigate these challenges by encouraging them to ensure their data pipelines are as complete and efficient as possible from the start. There is no party singularly responsible for healthy partnerships. It takes Receiver, Sender, and vendor reciprocity to prevent sloppy workflow and unnecessary complications, and drive better outcomes for everyone involved.
So as VT architects continue to build, innovate, and enhance our software solutions, we invite our clients and clients’ clients to proactively engage with us. Vertican Launches vIP

We recently announced some exciting news to Collection-Master and Q-Law firm principals, firm admins, and support coordinators: the launch of Vertican Important Partner (vIP). vIP is a program we designed to offer you predictable pricing, savings, and rewards.
Here are some details, but be sure to follow the links below for more important information.
Savings:
- Lock in a guaranteed lower rate reserved only for vIP members and avoid potential future price increases by signing a multi-year contract for a product you’re already going to be using!
- The longer your contract, the more you’ll save.
- If your firm signs a multi-year contract by December 31, 2024, your per user price remains the same for 12 months.
- If your firm decides not to sign a multi-year contract by December 31, 2024, your month-to-month per user price will increase on January 1, 2025.

Case Study: Get Rid of the Backlog and Get Back to Business

PROBLEM: Mail Merge not working with new forms
SOLUTION: Rebuild and re-program the forms from scratch
IMPACT: No more backlog of complaints
A retail collections firm in the Midwest was stumped. They couldn’t get mail merge to work with five new Word forms: four summons and one garnishment. After several weeks of frustration, they asked Vertican for help.
When Michelle Samlaska, Client Success Manager, tried to load the summons forms, her Word program froze, then crashed. Upon investigation, she saw that the forms, which were court templates, contained hidden metadata and security features embedded in Word.
Michelle rebuilt the summons forms from scratch, stripped out the embedded data, and made the forms interactive. She then input the correct merge fields, wrote custom field strings, linked the data sources, and set up the automation logic to pull data from the accounts. After this, she also created a second set of forms and programmed the merge fields for Debtor 2. Each form was then tested to ensure mail merge was successful.
The firm’s Accounts Coordinator was amazed with how fast the forms went through after Michelle’s help. From a backlog of over 300 complaints, by the first afternoon following the solution, 47 complaints were processed in a matter of minutes, and the entire backlog was resolved in a single day!
While custom programming was still required for the garnishment form, five hours of Professional Services took care of weeks of hassle and gave the firm peace of mind. In the end, they received eight summons forms since they had two versions for court venues, two for process service, and then four created for Debtor 2.
Lessons From an SME
The Magnificent Multi-State in Collection-Master
The Multi-State module in Collection-Master is designed to facilitate compliance and operational efficiency for VT Receivers that handle debt collection across multiple states. It’s one-stop shopping because it provides the ability to manage and adhere to varying state-specific regulations, requirements, and legal practices within a single system. What can be cooler than that?
Well, for one thing…it’s free!
VT clients can use Collection-Master’s built-in smart features to allow the system to modify its behavior depending on what it detects to be the state-in-question for the claim. Here are some of the robust features that this handy Multi-State module offers:
- State-Specific Compliance: The module ensures that collections processes comply with the laws and regulations of each state, including statutes of limitations, interest rates, and allowable fees.
- Automated Workflows: It allows for the automation of workflows that are customized to the specific legal requirements and procedural rules of different states.
- State-Specific Templates and Forms: Its functionality enables customization of letters, forms, and pleadings to meet state-specific formatting and content requirements.
- Jurisdiction Management: It provides tools to easily manage cases across multiple jurisdictions, reducing the complexity of handling collections in multiple states.
- Enhanced Reporting: Users can generate reports that are customized to the requirements of different states, which helps ensure compliance and provides insights into multi-state operations.
- Integration with Other Modules: The module provides setup options for other features in Collection-Master, such as the interest judgment, suit preferences, and cost check configuration. This safeguards consistency and compliance across the entire collections process.
But wait, there’s more! Collection-Master includes your firm’s home-state (registered in the software). Any other state is treated as a catch-all called “Unregistered State” until you wish to register the appropriate state(s) at a later time, which is what you will do when you license with Multi-State. Also, registering for Multi-State offers you the advantage of giving Vertican a “heads up” that you practice in a particular state. So, if we have a state-specific communication, this lets us know that you may be interested in such communications.
There you have it! The Multi-State module is a must-have for firms that operate in more than one state because it helps manage the many complexities of multi-jurisdictional debt collection effectively and efficiently.

VT Gives
👐 Charting New Courses at “SEA”
Vertican is proud to support local communities and initiatives that are special and meaningful to our team members. We recently donated $1000 to Sailing Education Adventures (SEA), a nonprofit organization dedicated to teaching sailing to children and adults in San Rafael, California.
Kurt Sund, Q-LawE Product Owner and Chief Innovation Officer, is a passionate sailor and volunteer at SEA. Kurt has been sailing since he was six years old and has competed in various sailing competitions over the years. His deep love for sailing and desire to give back to the community led him to SEA, where he initially offered his assistance and quickly became an integral part of their operations.
SEA runs summer camp programs for about 120 children annually, offering hands-on sailing lessons using a fleet of small dinghies and a few larger sailboats. Their programs are designed for children as young as eight years old, providing a safe and fun environment to learn the basics of sailing, including how to handle a capsized boat, which also helps build their confidence on the water.
“The transformative impact of these programs on young participants helps everyone develop leadership skills, self-confidence, and resilience,” remarked Kurt. “The organization’s focus on safety and personal growth ensures that especially the kids not only learn to sail but also gain valuable life skills.” To date, SEA has an impeccable safety record, with no major incidents in its 40 years of operation.
The organization is largely volunteer-driven and relies heavily on donations and state funding to provide scholarships and maintain their programs. Kurt’s involvement has extended to serving on SEA’s board and managing financial aspects, including securing state scholarships and organizing fundraising events.
VT’s donation will be used to either sponsor two children for a full camp experience or to purchase new sailing equipment, ensuring that SEA can continue to offer its high-quality programs at accessible rates. Our contribution will also benefit the annual Angel Island sailing trip, which will further promote the organization and its mission.
Vertican is delighted to support Sailing Education Adventures and other initiatives that are close to the hearts of our team members.

Welcome to the section of the Newsletter where we share an inside look at some of Vertican’s amazing team members. For this edition, we’re shining the spotlight on James Verona, Collection-Master Development Engineer!
What is your title and when did you begin working at VT? My title is Development Engineer 2 for Collection-Master and I started with Vertican in September of 2020.
What sort of work did you do before having joined Vertican? Just prior to joining Vertican I worked for 20 years in computers as a programmer and a database administrator. Prior to that, I spent a little time working as a hotel sales manager and also spent a few years working with preschool-aged children.
What is a typical day at Vertican like for you? Each day starts with a meeting where my colleagues and I discuss what we are working on and coordinate projects. After that, most of my day is consumed with programming.
What do you like most about working for Vertican? What I like most about Vertican is that there is a genuine concern for the employees and their well-being. I also enjoy the remarkable level of teamwork and cooperation everyone I have worked with displays. Of course, I also enjoy programming very much, which is what I spend most of my work time doing.
If you could learn anything new, what would it be? To play an instrument.
What was your very first job and how old were you? My first job was delivering newspapers when I was 14.
What is something about you that may surprise your colleagues? I am a fan of old-time radio shows like Dragnet and Gunsmoke along with a long list of other mostly forgotten shows.
What (else) do you like to do outside of work? Outside of work you can usually find me spending time with my family. I also enjoy reading and going for walks.
Share something exciting you did in the last 12 months. It was a little more than 12 months ago. About a year and a half ago we moved our family from North Jersey, where my wife and I have lived all of our lives and bought a house in South Jersey just outside of Philadelphia.
Do you have a favorite movie, artist and/or book?
Movie: Goodfellas, The Blues Brothers, Animal House
TV: Star Trek
Musical or Other Artists: I mostly listen to classic rock like The Grateful Dead, AC/DC, Warren Zevon, Pink Floyd, and Iron Maiden. I also enjoy jazz artists such as Oscar Peterson, Duke Ellington, and Vince Guaraldi. Artists from other genres that I like are Waylon Jennings, Willie Nelson, and John Hiatt. I almost always have music playing.
Book or Author: My favorite book is The Lord of the Rings. Other authors I like are T.C. Boyle, Jonathan Franzen, and Jonathan Lethem.

Talk Off Scripts
Ensuring that your collectors can access a consistent script can have a significant positive impact on your firm’s success. Using Collection Master’s Talk Off Script feature allows you to create and manage scripts tailored to clients, the claim status, or any other criteria necessary to help your team stay on message. Rather than scramble to provide a proper and appropriate response, your team will reply with confidence, professionalism, and perhaps most importantly, consistency when speaking with a debtor.
Setting up Talk Off Scripts starts with creating the necessary folders within your system, beginning with the F:\CLSINC\CALL_SCREEN as the directory where you will store your default scripts. Does your firm have client-specific and/or Forwarder specific needs? Simply create corresponding subfolders within the Client’s directory using the appropriate client Sort Code or Forwarder Number. These scripts can even be based on the claim’s status: pre-suit, post-suit, judgment, bankruptcy, or deceased. Please note: file names must be concise (under 18-characters in length) and must include the .htm extension.
Now that your scripts are written and stored in their desired folders, the Call Screen will automatically provide you with the correct script based on the folders and files you have created. This is accomplished when the caller selects the Talk Off Screens option from within the Call Screen, which opens an interface that the caller may use to select the desired script. The program will then open the designated script based on the caller’s selection and provide it accordingly.
This feature works to ensure that collectors are always proficiently referencing the most relevant information during their calls. Should a script specific to the situation not be found, the system will then highlight the first document found within the script folder without opening it, allowing the caller to select a script from the list provided, or leave the Talk Off Screen and continue the call without the use of a script.
Investing in the creation of Talk Off Scripts empowers your firm to meet client needs by providing the proper tools to handle every interaction with confidence and consistency. The versatility of Collection-Master’s system allows you to alter and customize these scripts to meet the diverse needs of your clients and cases, while also ensuring compliance and improved communications.

Software Tip
Export .xls Documents
Did you know that you can export .xls documents using DOC1EXPORT in both Q-Law and Q-LawE?
First, you will need to create the DDAS. Here’s an example:
You will need to add a string in the field called Run a custom program when DDAS triggers – enter complete path and program name (PRG). Here’s an example:

Secondly, you will need to create three tasks. The first task in our example ZZZ will drive the DDAS and then DOCPASS and DOCFAIL tasks.
You can add the .xls document to the account by clicking [Drag&Drop new documents] in the Documents tab. Please be sure to assign it a DocID.
Software Tip
Spectrum Importer and Zone OCR
Spectrum Importer has an option that allows you to capture text found in up to three different zones that you define when importing a document. The captured text can then be used by the importer to update fields in the metadata, giving you the ability to capture additional information during the import process.
When in the source file Index Control screen, click on the [Zone OCR Control] button.
Three Tabs for Three Zones
When the Zone OCR Control window opens, you’ll see three tabs representing each of the three zones you can define for this import profile: OCR Zone #1, #2, and #3.
The cleaned up OCR Text Format Expression is returned in the pOCRx variable (x = 1, 2, or 3) and can be used by the Index Fields or by other processing done during the import.
Zone Location and Dimensions
The top of the form has the OCR Zone measured in inches.
- The Top and Left values are the location of the upper left corner of the defined area that you wish to scan.
- The Height and Width values provide the dimensions of the area to scan.
Example: Capture Account Number
Below is an example where you can use Zone OCR to capture an account number on a specific location on the page.
You can capture that account number by clicking OCR Zone #1 and entering the four values for “Acct:”. When possible, capture extra space around the desired area to help the Zone OCR software capture everything in the target area.
Once you have defined the zone, you can then update the Filter section, which allows you to remove the typical white spaces that may appear by checking Carriage Return, Line Feed, Leading Spaces, Trailing Spaces and/or All Spaces.
Use the Additional Characters field to specify additional characters you wish to remove from the zone capture.
- For example, if you enter “Acct:” in the Additional Characters field, the zone would be captured but would remove “Acct:”
- Additional Characters are case sensitive, so if you enter “acct:” in the field, “Acct:” would not be filtered.
Click to view larger imageFinally, the Default Value field allows you to specify a value to return if there are not enough pages in the import for the OCR Zone to pick up a value, or there is nothing found in the specified area.

Finding Payments on Accounts
It’s now easier than ever to find accounts with payments in a specific date range. The Account Search filters now include the “Payment Date” filter, where you can specify a start and end date to narrow your search. When combined with the numerous other available filters, your results can be tailored to your exact needs.
1. Open Account Search.
2. Open the filters pop-up by clicking the icon in the top right of the page.
3. Open the “Payment Date” filter and enter your desired Start and End Date.

vExchange Status Codes
What do vExchange Status Codes do?
Standardize Communication
Status Codes allow Senders and Receivers to communicate information to each other in a Note Record.
- Senders send notes in 1401, 1402, 1405, 1407, and 1410 records.
- Receivers send notes in 2401, 2402, 2405, 2407, and 2410 records.
For example, each firm has a code for Judgment in their system of record (SOR). But all firms use Status Code *vX:J100 to communicate a Judgment to their vExchange Senders. Senders will then receive the same code for Judgment from all their firms in vExchange, regardless of what each firm calls it in their SOR.
Trigger Changes in Account Status
Some status codes are associated with a key event (e.g. Demand Letter Sent, Suit Served, Judgment, Closed). These status codes will trigger a change in account status if the firm has sent the status code in a 2000 series record.
(Senders can also recall, hard close, or reopen accounts with a status code.)
How to Find Status Codes
Find Status Codes on vPortal.
- If you want to see the newest status codes, you can sort by the Date column.
- If you’re looking for a type of status code such as a judgment code, enter “judgment” in the Description field to display judgment-related status codes.
- If the status code is a key event, you will see a notation in the Key Events field (“JG” in the screenshot below).
Senders Can Request New Status Codes
If you would like vExchange to create a new Status Code:
- First check if one already exists for your purposes by searching Status Codes on vPortal.
- If you need a new status code, please create a New Support Request.
- Any new status code is available for use by all vExchange users.
Example: Status Code *vX:L117 is for Unable to Serve Summons. Recently a Sender wanted new status codes to capture 11 different reasons that a summons would be unable to be served.
If you search “unable to serve” in the Description field, you can see *vX:L117 and the 11 new reasons, giving you the option to have your firms segment the data more precisely.
