Value Beyond Price: The True Cost of Outdated Software

As a business owner, I’m constantly examining where best to cut costs when it comes to managing business expenses. I don’t take these decisions lightly and must be sure to look at the downstream effect of each choice. Recognizing the distinction between cost and value is a concept that can make or break a business, especially when it comes to maintaining software and technology infrastructure. It’s important to understand that while costs are expenditures, investments are strategic decisions that yield long-term benefits and growth.

Some people approach car ownership with a casual, borderline reckless, mentality of driving a car until it no longer runs. If it reliably gets them from point A to point B, they’re happy. Maintenance is often pushed off, and when the inevitable breakdown happens, there’s little frustration because the driver “got their money’s worth.” Why bother investing in a car that has given them its all and served its purpose? They might even quip, “My car didn’t owe me anything.”

Well, unless that car kicks the bucket in the middle of nowhere without cell service, maybe this mindset makes sense for a depreciating asset that has no long-term impact on anyone’s livelihood. Personal choice.

Now, compare this approach to running a business with outdated or incompatible software. Choosing not to maintain or update your firm’s software may feel like a reasonable business decision at first. It saves money in the short term, like skipping oil changes saves on maintenance costs. But when the “breakdown” inevitably occurs — when outdated systems fail, risk data loss, or cause major operational disruptions — those savings can quickly turn into serious expenses.

In the legal recoveries industry, there is no benefit that I can see in viewing VT software as a depreciating asset. For more than 40 years, Vertican’s collections technology has been the foundation of our clients’ businesses, positively impacting everything from compliance and growth to Sender satisfaction and profitability. It’s not just software; it’s an investment in the success, stability, and future of your firm – a trusted partner that continues to evolve with your needs, empowering you to scale forward.

Understanding Value … and Responsibility

Firm principals, in particular, should recognize the critical role they play in the upkeep of their systems. It’s no longer acceptable to say, “I didn’t know the repercussions of outdated software or the relevance of system requirements.” As your technology partner, the VT team is here to empower, support, and inform, but the ultimate responsibility lies with business owners and IT managers to understand and maintain their technology.

Here’s a recent example from our own client interactions that I want you to consider. A law firm running an outdated version of Collection-Master sought support for an issue which they misclassified as a bug. Our Client Success team quickly recognized that the client’s outdated system was the root culprit. It wasn’t a flaw or a bug in our software but rather a compatibility issue tied to their decision not to perform an update. This scenario isn’t unique. Time and again, we see that neglecting to stay current leads to inefficiencies and system issues that negatively impact everyone involved.

We’ve made our policy clear: we do not support outdated software that is more than six months old. This isn’t an arbitrary rule; this policy is critical to your success and our ability to deliver on our brand promise of data with integrity. Data with integrity fosters efficiency, compliance, and profitability. I encourage you to review our policy on outdated software and current system requirements to ensure your firm is in compliance. Ignoring these guidelines only increases your risk of disruption.

Running old software isn’t just about the avoidance of compatibility issues. Often, an update to our systems, designed to improve performance or security, can negatively interact with an outdated application on your end. That presents potential problems, which become even more expensive and complicated to solve, including collateral damage to client relationships and exposure to regulatory or data security risks.

What are you willing to trade for system failures? How many miles are you willing to drive without oil until your car breaks down?

When you stop making investments in critical systems, you’re largely choosing to let failure become inevitable.

So, what are your options if you just don’t have the bandwidth or staff to take care of back-office IT updates?

Your Needs Matter: When Can You Jump the Line?

Think of being a patient in a busy emergency room. We can’t simply dictate the order in which we’re seen; medical staff prioritize cases based on severity. At Vertican, a Severity Level 1 incident (such as a critical system failure) requires immediate attention and takes precedence over less severe issues.

Keep in mind, if you’re running outdated software, it’s as if you’ve compromised your position in the triage queue. The good news is that Vertican does offer a “line jump” option for lower-severity support needs that are super important and impactful to you! Emergency assistance is available even for incidents that aren’t classified as critical. Naturally these services come at an additional cost.

Maintaining current software and systems isn’t just about preventing failures; it’s about unlocking the full value of your investment. Think about the cost versus value equation. The upfront expense of keeping software updated pales in comparison to the cost of lost productivity, client dissatisfaction, or potential legal exposure when things go wrong.

Whenever data changes, whether it’s changed manually via user input, electronically via DTP ingestions, or using other automation, the CHANGES table dutifully records the following information:

  • File Number of the claim that changed
  • Date and time of the change
  • Consumer number, relation number, or relationship type
  • Table name that contained the changed data
  • Data field in the table that changed
  • Old value of the data field
  • New value of the data field
  • The process that changed the data
  • Type of the data field (numeric, date, or text)
  • User who made the change

Brand Promise Delivered: Collection-Master uses several versions of the CHANGES table depending on the type of data change. Change tables continually work behind the scenes to track all application data updates. These historical tables record who changed what and when all while keeping a record of the original value – ensuring our clients are protected from potential compliance or audit risks.

PROBLEM

Kip Rufini is the Director of Legal Operations for Rutledge Law Firm in Texas. Prior to implementing VTFS, the firm’s file and serve tasks were a significant drain on her time and resources. It typically took Kip 8 hours a day to manage the workflow of all the different proceedings and service of process, manually tracking filings, compiling packets, monitoring service, and updating claims at each step. All the complex steps, varying requirements, and constant checking seemed to take forever. Rutledge was even close to requiring additional personnel to stay on top of it all.

SOLUTION

Joe Woodward, Deputy Product Owner, worked closely with Kip to set up and configure her VTFS system, turning the manual tedium into an automated lifesaver. VTFS supports multiple process variants so the setup is flexible. For example, when the timeline is tight, Rutledge will do the filing themselves and only outsource process service. In this case, the VTFS code will just create the service record. VTFS can be configured for multiple processes by jurisdiction and any of the 25 proceeding types. At the point of attorney approval, VTFS smart functionality uses formulas to create records for the debtor(s) en masse.

IMPACT

Instead of spending her entire workday on court filing and process service tasks, it now takes Kip 30 minutes per day. And they haven’t had to hire additional staff. Kip can now spend her time on value-added activities that push the business forward.

Since implementing VTFS in July, Rutledge has sent over 800 cases to court.

Our VT CEO, Isaac Goldman, recently made a deeply personal gesture in memory of his wife, Chelsey, who passed away from breast cancer on August 20, 2022. Isaac donated his hair to honor Chelsey’s legacy and to support others affected by cancer.

Welcome to the section of the Newsletter where we share an inside look at some of Vertican’s amazing team members. For this edition, we’re shining the spotlight on Adan Fox, Client Success Representative for Collection-Master and vMedia!

What is your title and when did you begin working at VT? I am a Client Success Representative for Collection-Master and vMedia, and I began working here in August of 2023!

What sort of work did you do before joining Vertican? I spent 2017 through 2023 working for a public library system! At first, I did part-time work as a page – this involved checking in materials for patrons and sorting carts of items onto the shelves. Over time, I expanded my knowledge of library sciences and eventually became the system’s hold manager. Despite my various full-time positions being very technical and computer based, I spent a great deal of time focused on the needs of our unsheltered patrons by facilitating a book club, organizing drives, and learning mental health first aid.

What is a typical day at Vertican like for you? Busy, busy, busy. The primary focus of my job is to answer support requests from our clients, so my days are mostly spent hyper-fixating on research and sending out emails. When I am not in the middle of working on a ticket or performing professional services for a firm, I spend my time manipulating test data in our software. This helps me get hands-on experience so I can keep up to date with best practices and have the knowledge to teach others about our products.

What do you like most about working for Vertican? My team, hands down. Paul and Michelle are exceptional leaders that are always there to lend an ear when I need advice or reassurance. My fellow techs – Brandon and Megan – are not only great at what they do but are the kindest individuals I’ve ever worked with. It helps tremendously to have a team that is supportive, willing to work with me, and eager to learn new things. I honestly wouldn’t trade this team for anything.

If you could learn anything new, what would it be? It isn’t necessarily new, but I would love to become fluent in Spanish. My father was born and raised in Reynosa, Mexico, so I have a lot of family who speak Spanish, and it can be difficult to communicate and form relationships with them. I’ve been using Duolingo to get back on track, and I’ve picked up a few Náhuatl words as well!

What was your very first job and how old were you? My first job was in the cafeteria at my high school, and I was 15. I don’t remember very much about it, other than the lunch lady was super sweet and always made sure I got food even when I couldn’t afford it.

What is something about you that may surprise your colleagues? When I was in my twenties, I auditioned for The Voice. After the initial casting call, I was invited to the in-person auditions in Denver! I didn’t go beyond the second round to sing in front of the judges, but it was a wonderful experience regardless.

What (else) do you like to do outside of work? I am a bit of a hobby collector, but if I had to pick one thing, I would say crocheting. My closet is filled with all sorts of yarns (that I probably don’t need), and I usually have at least three separate projects going at any given time. I recently crocheted a bodice for Renfaire – I was quite proud of myself!

Share something exciting you did in the last 12 months. Just last month, my roommate and I traveled to Colorado to see my mom and her side of my family. We saw my favorite place on earth – Garden of the Gods – and went to the Cheyenne Mountain Zoo! All the animals came out for Brandon since it was his first time ever being at a zoo! Prior to that, we were able to see Hozier in concert. That was probably the best night of my life.

Do you have a favorite movie, artist and/or book?

Movie: All of the Alien movies (in chronological order minus the Predator movies – I know I’m weird, okay?) and every movie directed by Jordan Peele.

TV: This is a tie between Schitt’s Creek and Buffy the Vampire Slayer – though I feel the need to mention El Secreto del Rio (The Secret of the River), which I recently binged in one day. Absolutely heart-wrenching, but so, so good. 10/10, will watch it again.

Musical or Other Artists: Hozier, Parisa Paloma (her song triassic love song is inspired by fossil remains of two dinosaurs that were entangled at the time of their death – no, really, Google it!), Chappell Roan, The Last Dinner Party, Noah Kahan, and Sleep Token. I’m always listening to something, so the list goes on and on – but these are my hyperfixations of the moment!

Book or Author: Emily M. Danforth has two fantastic books – The Miseducation of Cameron Post, and Plain Bad Heroines. The second one is a doozy of a book at 640 pages, but it’s worth it if you like sapphic romances and gothic themes.

 Software Tip

Vertican License Manager

*This tip is for Firm Admins or IT staff that have Administrator access to the Vertican License Manager (VLM).

The Vertican License Manager (VLM) provides local administration and license validation within an organization in conjunction with the administrative tools provided on the vPortal.

Using the VLM

  • To use the VLM, you will first open the LicenseManager.exe file, which is found within the root of the installation folder (either F:\IMASTER or F:Vertican\VLM if you do not have vMedia).
  • You will then see your products (e.g., vMedia, Collection-Master). Select the product for which you want to run VLM.

  • You will be prompted to enter the Administrator license login information as shown below.

  • After login, you will come to the main screen of the VLM. This screen may look different depending on the product you have selected.

  • From this screen you can add new users, set user tiers, and import or export user lists. When you click the [Add New User] button, a popup box will prompt you to enter the User Name and Password for the new user. Click [OK].

Updating the VLM

If an update is required, you will be notified. If you need to perform an update for internal reasons, here’s how to do it.

  • Updating the VLM starts within vPortal > My Vertican > My Products.

  • From the My Product page, select the [View License Details] button next to your Collection-Master subscription.
  • From the Product Info page, select the VLM Software toggle.
  • Download the Vertican License Manager Install file into a folder that has the VLM software already installed. This will be a temporary file that you can delete once the update is completed.
  • Run the installation package within the client workstation, NOT on the server.
    • If an existing instance of the VLM is discovered, a dialog box will display that indicates the location of the existing VLM installation.
    • Select [OK] to continue.

  • Enter a valid username and password for the Vertican vPortal account associated with your firm.
    • vPortal registration is required for the VLM to be installed. Select [Next] to continue.

  • Accept the license agreement on the license agreement screen.
  • Select [Next] to continue.
    • If an existing installation of the VLM was discovered, the installer will verify that the installation location that was selected matches the last installation record on file in the vPortal. You should use the same file location as before.
  • The “Select Destination Location” screen will be displayed with the default path.
    • If an existing installation of the VLM was discovered, the destination location will be set to the discovered path. Select [Next] to continue.
    • This will be the last opportunity to check that all selections made are accurate.
  • Select “Install” to complete the installation of the VLM.

NOTE: After the update, every workstation will need to run the SetupVLMClient.exe file. This file is also located in either F:\IMASTER or F:\Vertican\VLM.

 Software Tip

SQL Queries Screen

Periodically, SQL Server Management Studio (SSMS) queries are provided to firms to generate a report of information needed to research issues. Not all users have access to the SSMS application. A new process has been added to Reports and Query to run query commands without having to use SSMS directly.

In the Reports and Query screen, the former [UserQ] button has been recommissioned to open the SQL Queries screen. The button is now called [SQL Query], which will open a window to input the SELECT statement and run the query.

This new process is unable to use UPDATE, DELETE, TRUNCATE, INSERT, EXEC, and GRANT commands. [SQL Query] will only be used for SELECT statements. When you use this feature, you will get a prompt to use NOLOCK to avoid unnecessary slowness running a query.

Example:

To review items recorded in UPD_DEBT, I used SELECT * FROM UPD_DEBT

When you click [Run SQL], you get the popup message to add NOLOCK.

Change your query to SELECT * FROM UPD_DEBT with (NOLOCK). Then click [Run SQL] to run your query and view the results.

To manage the security level of who can access the [Run SQL] button, please review REPORTS.USERQ in the Security Levels screen accessed from the Maintenance menu.

 Software Tip

Verify MS Word Merge from Collection-Master to vMedia

A prerequisite to this process is that your MS Word software has the merge macro for Word installed. For more information, go to the vMedia Help Manual > Setup > Integration of Third-party Applications > Merge to Word Installation.

  1. Merge letters or pleadings in Collection-Master.
  2. Open the Review Tab on your merged document.
  3. Select Track Changes > Show Markup from the dropdown options.

The document comment block appears in the right margin. There is one comment block per merged document with valid merge field data contained within. In both WordPerfect and in MS Word, there should only be one comment block and that comment block must be at the top of the first page of your document.

NOTE: If you see the path to the Field Code, press [Alt-F9] to toggle contents display.

  1. With the document displayed, open the Collection-Master tab.

  1. Click on [File to vMedia] to start the process of filing the documents to vMedia.

  2. When the process is complete, a final completion dialog box will display that shows the total number of documents saved to vMedia.

Software Tip

Activity on Archived Accounts Report

The new Activity on Archived Accounts report allows firms to see how many records are being submitted per day, week, month, etc. on accounts that are archived. This is important since records on archived accounts are no longer passed to Senders.

Firms are encouraged to investigate why records are being sent on archived accounts and to adjust their activities and/or system of record accordingly. For example, the accounts may need to be marked as archived in internal systems to prevent staff from working on them and/or prevent the accounts from being included in file uploads.

By default, the report checks for the following incoming records:

  • Payment Records: 2303, 2304

  • Notes Records: 2401, 2402, 2405, 2410

  • Hovering over a number shows the count of records per record type.

  • Clicking drills down to account level details.

  • Changing the Start and End dates to longer ranges will cause the columns to be grouped by day/week/month.

  • To limit the report to payment records, switch the position of the “Payments Only” toggle.

  • Click on a column header to sort by that column.

  • Type any text in the column filter field to filter the results. This makes it easy, for example, to filter visible firms.

  • Limited information is available for archived accounts on the Account Details screen, so Senders will have to unarchive the accounts to enable further research.

    • Note that all incoming records are stored in vExchange, regardless of an account’s archive status.

    • Records sent on archived accounts, therefore, will be visible once the accounts are unarchived.

  • Click on the [Export for Unarchive] button to download an Excel file that can be uploaded to the Bulk Unarchive Tool, which is visible to Senders.

    Firm Admins and Support Coordinators with Administrator permissions will also receive a reminder when logging on to vPortal to verify and/or update your account information. Once you verify your Client Profile page, you will no longer receive the reminder.
