The Future is Now: Why Vertican’s Technology Is More Modern Than Ever 

Recently, our leadership team took part in an exercise I found both enlightening and humbling. Each of us reached out to a client for a brief but candid conversation about three things: what Vertican could start doing, what we should stop doing, and what we must keep doing to make their work life easier. 

These “Start-Stop-Keep” conversations are part of our ongoing commitment to listen, learn, and evolve. They gave us valuable insight into how you experience our software day to day – and they reaffirmed something we’ve always believed: the best ideas often come directly from you. 

One recurring theme we heard was that Collection-Master is not “modern”. A few clients shared that the interface feels visually dated. That’s fair feedback – and they’re not wrong. The graphical user interface (GUI) does need refreshing, and we’re considering how best to make improvements. 

But I challenge the notion that Collection-Master is not modern. While it may not look as sleek as some newer applications, under the hood, it is more advanced and powerful than many realize – in several important respects. 

In 2018, we set out to transition our Collection-Master firms to Q-LawE because, at the time, we recognized that a SQL foundation provided a more accessible and scalable path toward a full SQL backend. Q-LawE’s smart automation capabilities are extremely robust, and it too will receive the same NextGen upgrade as Collection-Master. 

More Than Meets the Eye

When most people think of “modern” software, they picture clean design, minimal clicks, and intuitive screens. These things matter. But true modernity is not skin-deep – it’s built on infrastructure, scalability, security, and adaptability.

Collection-Master’s underlying architecture is extremely sophisticated and adaptable. It’s designed to handle complex, high-volume legal collection workflows, and it continues to evolve in that mission. Many of the most advanced firms in the industry rely on its data model and automation capabilities because it was built with a depth and flexibility that has stood the test of time. 

So, we’ve continued to invest heavily in Collection-Master, implementing TLS 1.3 with modern ciphers ensuring privacy and data integrity. New features such as Vertican File and Serve (VTFS), Call Screen Field Level Events, new commission rate features and End-of-Day Automation are completed or planned for our upcoming release.  

A Legacy That’s Still Leading 

Vertican has been in business for more than 40 years, and we are proud of our history. Many long-time clients still refer to Collection-Master’s original name, CLS (Collection Legal Software). That familiarity speaks to the software’s impact and longevity – but it also sometimes reinforces a misconception that Vertican and our products are the same as decades ago.   

We’re not. And they’re not. We’ve each evolved dramatically – our team, our technologies, and our vision have grown. And so has Collection-Master. 

I want to be very clear about this, as we’ve said all year long: Collection-Master is here to stay. 

We are investing in it, innovating on top of it, and building its future. It remains the most powerful, configurable, and proven platform in the receivables industry – and we are continuing to expand its capabilities without forcing our clients to start over. 

Why “Migration” Isn’t the Answer – Then & Now 

Another important insight we’ve gained is that migrating firms from one platform to another – moving documents, workflows, and data – is extremely challenging and often unnecessary. 

Every firm we serve has built a highly customized environment over years, some over decades. Those customizations reflect how you work, how your clients operate, and how your business runs. Converting data is one thing; reinventing your firm’s operating procedures is another. 

As my mom, Nina, used to say, “Sometimes your eyes are bigger than your stomach.” When we first envisioned large-scale migrations to Q-LawE, we underestimated the complexity and the disruption it could cause. In retrospect, this was a miss on our part. But our pivot, which is even better than moving firms to Q-LawE is building NextGen. 

So rather than forcing everyone into a one-size-fits-all migration path, we’ve paved a better path: to continue evolving both Collection-Master and Q-LawE separately and deliver new capabilities ON TOP OF them without requiring conversion at all. This thinking has led to one of our most significant innovations in recent years. 

NextGen: Modern API Power, No Migration Required 

NextGen is a powerful API layer built on top of our existing on-prem applications like Collection-Master. It allows us – and you – to tap into the latest technologies without abandoning the systems you’ve invested so much time and effort into customizing. 

Through NextGen, we’re opening the door to seamless integrations, advanced analytics, and cloud-powered services that enhance what Collection-Master can do today – and prepare it for what’s next. 

This is modern technology at its best: not a wholesale replacement, but a strategic evolution that delivers new capabilities with minimal disruption. Feel confident that Vertican has been an industry leader for more than 40 years, and we have had your back all along.  

The Next Frontier is HERE: AI and Ask Goldie Support 

We’re not stopping there. Another area where we’re pushing modern boundaries is AI, and our new AI-powered support tool, Ask Goldie, is just the beginning. 

Ask Goldie already helps users get quick, accurate “How To” answers about our software, reducing time spent searching documentation or waiting for support. But the next evolution is even more exciting: we’re developing Ask Goldie “To Do” – where your Goldie agent doesn’t just tell you how to perform a task but does it for you.

A Foundational Release Plus a Pricing Update 

We’re excited to share that we will officially release vMedia 4.0 on February 1, 2026 with tier price adjustments. This release reflects Vertican’s ongoing investment in our products and our clients’ operational success.

Will Klena

What is your title and when did you begin working at VT? My title is Product Manager. I’ve been working at VT since the summer of 2023.

What sort of work did you do before joining Vertican? I joined Vertican right after I graduated from the University of Virginia. While in school, I interned at a startup based in Arizona. I also had a few odd jobs including tutoring athletes, being a teaching assistant for a CS class, and working a brief stint at the Harris Teeter deli. 

What is a typical day at Vertican like for you? Every day is different for me at Vertican, which is a large part of why I love working here so much. I am constantly looking for ways to improve our new AI-powered support agent, Ask Goldie. I have also been working on planning and prototyping other AI-powered tools for our customers.

What do you like most about working for Vertican? In addition to what I mentioned above, everyone on the VT team is friendly and approachable. I have no reservations about pinging someone during the day for clarification on an issue. The leadership team is also very receptive to everyone’s input, which is really refreshing. 

What was your very first job and how old were you? I started mowing my neighbors’ lawns when I was 14 years old.

Word on the street is that you go to a lot of concerts. Tell us about that and how it began. This year I made it to 25 concerts. I’ve been a huge fan of live music ever since my dad took me to see Bruce Springsteen and the E Street Band when I was 10 years old. Some highlights this year were Geese, MJ Lenderman, David Byrne, and Rüfüs Du Sol.

If you could learn anything new, what would it be? I would love to learn how to play the guitar!

What (else) do you like to do outside of work? I love reading, listening to music, and baking.

What is something about you that may surprise your colleagues? I love the outdoors. I’ve gone on several camping trips with friends in the past two years, as well as a canoe trip on the James River and a bikepacking trip from Pittsburgh to D.C. 

Share something exciting you did in the last 12 months. I moved to New York City this past summer. Ever since I was a little kid, I’ve wanted to live in Manhattan. I’ve really loved it so far.

 Software Tip

Merging Documents & Automatically Populating Fields with Merge Pop

Batch merge documents can be used to save time on mass updating of claims. Instead of entering values into fields by hand, you can load information into a spreadsheet that then populates claims automatically.

Merge Pop is a feature within our Smart Documents that allows a field to be populated by the contents of another field. Fortunately, PS Comment fields are among the available fields. Whenever a document is requested, there are auxiliary fields, such as the comment fields, extra numbers, and PS comments, which can store additional information when the document is requested.

After a document has been set up in [1-7-1], Merge Pop can take values from the PS Comment fields and populate them into Collection-Master destination fields as the document is merged.

What are Merge Pop’s Limitations?

  • While Merge Pop utilizes user-defined instructions within a document to populate information, there are certain fields which are excluded.

  • Judgements cannot be entered via Merge Pop as there are a number of processes that trigger upon entering judgment (such as the Judgment Wizard), which cannot be recreated through the Merge Pop process.

  • Certain sensitive fields, such as balance information are also excluded from Merge Pop.

  • If a field is not permitted for use in Collection-Master, the Merge Pop screen within [1-7-1] will alert you that the field is unavailable.

Pro Tip: Using an Asterisk to Erase Fields

  • Looking to simply clear a value from a field without having to replace it with new data?

  • Just set a formula line to “$=*”! All formula lines in Collection-Master have assigned field codes.

    • Formula line 1 has a field code of 401. Formula line 2 has a field code of 402. Formula line 3 has a field code of 403, and so on.

  • Merge Pop interprets the asterisk as a sign to ‘erase and clear this designated field’ for both text and number fields.

Setting Up MergePop

Here’s how to get set up and started!

  • From the main menu in Collection-Master, navigate to [1-7-1].

    • Your document should ideally be set as an X-Code.

    • You can add a new Document Code using the large [+] button at the top left corner or navigate to select the document that you’d like to use.

  • From the Document Code screen, open Merge Pop Settings

    • Press [Shift] + [F6] or click the [Merge Pop] button.

    • Pressing [Shift] + [F6] is the same as pressing an [F16] key, which most keyboards do not have.

  • Set up a new Merge Pop setting.

    • The Document Code screen now shows all currently mapped Merge Pop settings: Source, Table, Merge Pop Destination Field, and Num/Rel.

    • Press [F1] or click the [Add] button to begin adding a new field.

  • Enter the Source Field Code.

    • When entering the Source Field Code, make sure to only enter the number. There’s no need to include an ‘F.’

  • Select the Destination SQL Table to Populate.
  • Pick the field within the table and [OK].
  • Repeat this process for each field you wish to populate.  

Make a mistake or wish to make a change? Merge Pop setups may be edited or even deleted at any time. 

How do I Request My Documents?

  • Documents are requested using [1-3-6-5-4]. Use an Excel spreadsheet set up with the fields listed in the following screenshot.

  • The file set up in Excel must be saved as a .csv file.

  • All PS Comment fields can be listed using PS01, PS02, PS03, PS04, PS05, PS06, PS07, PS08, PS09, PS10, PS1 1 and PS12.

  • LLCODE should be the name of the document code set up in [1-7-1].

Excel Graphing Automation

Q-LawE automates the process of plugging numeric data from the Q-LawE database into Excel to create graphs.

  • This feature requires that Excel be installed on the workstation where Q-LawE is running.

  • After the graph opens, you can use the open instance of Excel to further refine or edit the resulting graph before saving or printing it.

  • Example 1: VTFS Dashboard
    • From the Maintenance menu, click the “Edi – Custom Modules – Help” tab

    • Click the [VTFS Dashboard] button > [View history] > [Graph].

    • Click [Create Graph] to see the graph below in Excel.

  • Example 2: Client List
    • From the “Work case” screen, click [Clients] > [Client list].

    • From the client list on the Clients screen, click the button labeled [Big] to open the Client Big List screen.

    • Click the [Graph] button and select Graph Options.

    • Click [Create Graph] to see the graph below in Excel.

 Software Tip

Migration from IMASTER.ini to vMedia.ini – Important 

With the CM 9.1L.022 release, Collection-Master will now read vMedia.ini instead of IMASTER.ini.

  • Please make sure that your vMedia.ini file is properly configured.
    • This involves checking that all necessary configuration parameters are correct and aligned with the previous settings you had in IMASTER.ini.
  • In theory, IMASTER.ini and vMedia.ini should be the same.
    • It would be a good idea to compare the contents of both files to ensure they match.
    • This will help in identifying and fixing any discrepancies with
      vMedia.ini.
  • If you encounter any issues, please create a New Support Request.

Software Tip

Handling Record Rejections

Record Rejections are frequently the cause of important records not being delivered (e.g. cost or payment records).

  • Record Rejections happen when a record within a file is missing data or is improperly formatted.

  • Rejected records are NOT imported into vExchange or delivered to other vendors.

    • Affected records must be corrected and resent in a new file.

    • Only the affected record is rejected unless it is a placement, in which case subsequent records for that claim will also be rejected.

    The Record Rejection Report is the best tool for troubleshooting these issues.

    Go to Reports > Operations Reports in the left navigation menu.

     

The Record Rejections report allows you to quickly investigate the reason a record was rejected so that you can fix the problem and resend the record. As with other reports, you can sort, filter, and export your results.
